SAFETY POLICY
Stall Holder Safety Responsibilities
The Stall Holder at all times shall exercise all necessary precautions and due care; and shall be responsible for the safety of the public, employees and personnel engaged in the operation of their exhibit site; and the conditions under which the event is conducted.
The Stall Holder shall comply with all relevant statutory requirements, including test and tag electrical compliance, and directions given by Dash 4 Cash Incorporated (Barossa Timed Event Rodeo) Site Safety Coordinator.
The Stall Holder shall promptly report to the Site Safety Coordinator all accidents, incidents, and personnel injury. The Site Safety Coordinator may request an incident/accident report which must be provided within 48 hours.
The Stall Holder shall implement a site-specific Safety Management Plan in compliance with the WH&S Act and Regulations; and must complete the Site Safety Plan & Hazard Audit List provided by Dash 4 Cash Incorporated (Barossa Timed Event Rodeo), or business equivalent, which must be returned to the Event Organisers.
The Stall Holder is responsible for ensuring that any marquee or other temporary structure placed on their site is erected correctly in accordance ith the manufacturer’s specifications for safe and secure erection; and in accordance with any Australian Standards; and industry safe practice.
The Stall Holder shall ensure that there is no movement of any vehicle under the control/supervision of the Stall Holder on any part of the event site, during public access hours.
Stall Holder Safety Management Plan
Each Stall Holder is required to provide a safety management plan by completing the Site Safety Plan & Hazard Audit List, which address the following: Safety management responsibilities within the Stall Holder’s organisation which addresses the following:
The identification and evaluation of site specific WH&S hazards through the completion of the Site Safety Plan & Hazard Audit List.
Ensure safe operation of all equipment and materials used on the site.
The management of onsite works, hazard warnings, and of accident and emergency procedures.
Protection of the public on or near the site; and ensuring safe work by all contractors on the site.
The provision of First Aid equipment as appropriate to the activities on the site
If the Site Safety Management Plan, in the Site Safety Coordinator’s opinion, does not adequately fulfil the site requirements, all activities shall cease until the Plan has been revised to meet the requirements.
DASH 4 CASH INCORPORATED (BAROSSA TIMED EVENT RODEO)
TERMS & CONDITIONS
Payment of the full site fees must be made when lodging the Site Application.
The Stall Holder is responsible for the condition of the site covered by this Contract for the duration of the Dash 4 Cash Incorporated (Barossa Timed Event Rodeo) and upon completion of the event the Stall Holder shall clean all parts of the area affected by the Stall Holder’s presence thereon to the satisfaction of the Event organisers.
The Stall Holder accepts all responsibility for and shall hold the Event organisers and property owners indemnified against any death, injury, damage or loss to any person, persons or property howsoever arising and whether at or in consequence of the event by reason of any act, omission or neglect of the Stall Holder or arising out of the transport, installation, use or demonstration of any machinery, implement, apparatus, static display or stand AND the Stall Holder hereby undertakes to faithfully conform with any regulations, bylaws or ordinances made under such Acts of Parliament or by any Government, Semi Government or Local Government Authority duly authorised to make regulations, by-laws or ordinances in connection herewith.
The Event organisers shall not be liable for any loss of or damage to the Stall Holder’s property whilst on the said area. Security of the Stall Holder’s property or display shall be the responsibility of Stall Holder.
If the Event organisers should find it necessary or expedient to cancel or postpone the Dash 4 Cash Incorporated (Barossa Timed Event Rodeo), this Contract shall cease to operate upon notice to that effect, signed by the Event organisers served on the Stall Holder by handing it to him personally, by electronic means or by posting it to him in a prepaid envelope or wrapper at the address herein mentioned or at the option of the Event organisers by handing or offering it to any person who appears or is thought by the Manager to be an employee, agent or partner of the Stall Holder and the Event organisers shall not be liable to the Stall Holder for any compensation whether on the grounds of loss of profits or otherwise in respect of such cancellation or postponement and the Stall Holder shall not be entitled to any refund or payment of any money paid by the Stall Holder in relation to this application.
The Stall Holder shall not conduct on the event site any competition or game without authority of the Event organisers.
The Event organisers reserves the right to amend operating conditions as specified.
Sale of alcoholic drinks within the confines of the said area is prohibited except with the approval of the Event organisers and the required liquor licence. No Stall Holder shall be permitted to infringe the rights of the Dash 4 Cash Incorporated (Barossa Timed Event Rodeo) official caterers.
The Event organisers reserves the right to cancel this Contract and to retain any money paid in relation thereto if there is, in the opinion of the Event organisers, any infringement of any of these conditions and/or if the Stall Holder does not occupy the space at the commencement of and during the full period of the said Dash 4 Cash Incorporated (Barossa Timed Event Rodeo).
Stall Holders are NOT to vacate sites before 9 p.m. on the day of the event. Exit procedures will be coordinated by event organisers. There shall be no movement of any vehicle on any part of the event site during the public access hours of the event except with the approval of the Event organisers.
The event organiser’s will remove (unless negotiated) any structure or part thereof or any plant or equipment which is or has been erected or placed upon the area and remains 7 days after the completion of The Dash 4 Cash Incorporated (Barossa Timed Event Rodeo) and the Stall Holder shall pay a storage fee of $100 per item per week or part thereof. An opening fee of $200 applies from 7 days after the event.
The Event organisers shall have the right to sell by public auction or private treaty any item remaining after 30 days.
If a Stall Holder, having made a site application and paid the site fees, then cancels the site booking or does not appear at the respective event the Event organisers is under no obligation to refund all or any part of the site fees paid. The Event organisers may, in its absolute discretion, grant a refund which will not be made until after the event.
Cancellation by stallholder up to 14 days prior, full refund will apply. Inside 14 days of the event, no refund available.
If in the event the organisers cancel the event, stallholders will be given the option to attend the rescheduled date or refund.
Stall Holders are to be responsible for all persons on their stand being aware of the conditions listed herein, additional copies are available from the Manager.
The driver of any vehicle within the Event site must hold the required drivers licence for the respective vehicle.
The Barossa Timed Event Rodeo is conducted by Dash 4 Cash Incorporated, a body corporate pursuant to the provisions of the Associations Incorporation Act. Dash 4 Cash Incorporated is an affiliate of the Australian Professional Rodeo Association. All rights and obligations which arise under these conditions or in relation to the Barossa Timed Event Rodeo shall be enforceable by or against Dash 4 Cash Incorporated and shall function through its Event organisers.
in these conditions unless the contrary appears: “the area” shall mean the area defined by the external boundary fences of the Dash 4 Cash Incorporated (Barossa Timed Event Rodeo) Site, “the Stall Holder'' shall mean the body corporate, person, partnership or voluntary association whose name appears on the application to exhibit and shall include the employees, servants and agents of the Stall Holder, “the Event organisers” shall mean the Executive Event organisers of the Dash 4 Cash Incorporated (Barossa Timed Event Rodeo). Words importing the singular number shall include plural and the masculine gender the feminine or neuter and viceversa and words importing persons shall include bodies corporate. Joint Stall Holders shall be jointly and severally bound by these conditions and shall have joint and several liability hereunder. “Site” shall mean the space allocated by the Event organisers to a Stall Holder.
GENERAL INFORMATION
ACCESS TO SITES
Stall Holders may have access to their site as follows: Friday 2pm-5:30pmSaturday 7:30 amNo security on site.
CAMPING/ACCOMMODATION
Camping on the Event site is not permitted. Please check www.barossa.com for local accommodation
POWER, CHAIRS & TRESTLES
Supplied by stallholder. No power on site, all stall holders must be self sufficient.
ELECTRICAL CORDS & APPLIANCES
All electrical cords and appliances used on the Event site must carry a current, valid test tag of compliance.
CLEANUP
All stall holders are required to leave the site as they found it. If the Event organisers feel this did not happen, there will be a site cleaning fee.
DRONES
No drones are permitted to fly within 3 km of the event site.
EXHIBITS
All exhibits must be set up by 11.00 a.m. on the day of the event and must not be removed before 9.00 p.m - unless by prior arrangement.
STALL HOLDER PASSES
Stall Holder Passes will be emailed to the contact on the front of this form. They will be required at the gate.
FOOD & DRINKS
No alcoholic drinks are to be sold at your stall. The bar and licence are run by Dash 4 Cash.
INSURANCE
All Stall Holders must have current liability insurance for the entire event including setting up and removal and a copy kept on site. Attach a copy of current insurance with application form.
INTERNET
The Event site has good Telstra mobile phone internet service.
MARQUEE PEGS / HOLES
All pegs must be covered and within the Stall Holder site. No holes to be dug on the event site. Repairs to any damaged services caused by not complying with this condition will be charged to the Stall Holder.
NOISE CONTROL
The Event organisers reserve the right to control or prohibit the operation of any equipment which causes undue noise, nuisance or inconvenience to other Stall Holders.
PETS
No pets allowed on the Event site during the event, including setting up (exceptions may be made for personal assistant dogs and working display animals).
PUBLIC ADDRESS ADVERTISING
No advertising over the public address system is available. Announcements which may appear to be advertising are to acknowledge Barossa Rodeo sponsors. If you wish to become a sponsor, please contact the organisers for the sponsorship packages available.
PUBLIC SERVICES
Toilets, First Aid Responders, Police, Security, CFS
SECURITY
No security on site for the purpose of watching stalls. Security onsite for the purpose of public safety.
TRUCK AND TRAILER PARKING
Stall holder parking is to the western side of the event. See map.
WASTE REMOVAL
Please take all rubbish created by your stall directly, with you at the completion of the event.
PAYMENT OF SITE FEES
Full payment with application. No stall will be accepted without payment.
